In March 2025, Europe’s largest Insurtech conference descended on InterContinental London – The O2. For two packed days, more than 6,000 executives, entrepreneurs and investors convened to debate the future of insurance. The atmosphere was electric: leaders exchanged ideas, start‑ups pitched investors, and panel sessions covered every emerging technology under the sun. As a corporate event photographer, my job was to distil all of that energy into images that companies can use long after the conference ends.

What makes event photography different?

Great event photography is more than a record of who stood on which stage. Traditional coverage once focused on handshakes and posed award photos. Today, businesses want images that capture the essence of the event – photos that convey the excitement in the room, the quality of the speakers and the richness of connections being formed. When people see compelling photos of an event they couldn’t attend, they should immediately wish they had been there. When the people who did attend look back, they should be transported back to that moment.

Reading the room: planning and pre‑production

Before stepping foot in the venue, I immersed myself in the agenda. Knowing the schedule, the key sessions and any VIP attendees ensured I was in the right place at the right time. I arrived early to scout the O2’s sprawling conference centre, noting where natural light enters, where the stage lights fall and how best to move unobtrusively between breakout rooms. Discretion is essential at a high‑profile event; my goal is to be everywhere without being noticed. Clients also get peace of mind knowing I have public liability insurance and experience shooting at venues across Amsterdam and other parts of Europe, as well as Asia.

Highlights from day one

  • Engaged delegates reading the programme: early in the day, attendees took their seats and flicked through the glossy programme, smiling at the range of sessions on offer. Candid moments like these showcase how invested people are in the content and make perfect assets for newsletters and social media.

  • Dynamic panel discussions: the conference featured expert panels on AI in insurance, regulatory trends and customer experience. Speakers were animated, gesturing with microphones, laughing with peers and making eye contact with the audience. Capturing those expressions and interactions emphasises how lively the conversation was.

  • Focused audience reactions: between the stage and the back row, executives leaned forward, hands clasped, listening intently. These reflective images illustrate that even busy C‑suite leaders can be captivated when the right topics are on the table.

  • Diverse voices on stage: Insurtech is still a male‑dominated field, so it was refreshing to see women leading discussions on investment and innovation. Photographing a female panellist in a crisp blazer addressing the crowd shows clients that you highlight diversity whenever possible.

Why hire a professional photographer for conferences?

Companies pour significant resources into conferences, from securing prominent speakers to flying teams across continents. Commissioning a professional event photographer ensures that investment continues to deliver value:

  1. Marketing assets: high‑quality images of speakers, sponsors and branding can be repurposed across websites, blogs, social media and email campaigns. Pictures of engaged audiences and busy networking areas prove your event delivers ROI.

  2. Press and PR: media outlets prefer professional photos when covering events. Clear, well‑composed shots increase the chance that journalists will run your story.

  3. Internal communication: executives can use photos to brief colleagues who couldn’t attend and to reinforce key messages within the company.

  4. Sponsor appreciation: sponsors love seeing their logos and products in professional images. Including them in the final gallery helps maintain those relationships and encourages future partnerships.

  5. Talent acquisition: photos showing a buzzing atmosphere help to attract new hires; they convey that your organisation is forward‑thinking and connected.

Deliverables and outcomes

For Insurtech Insights 2025 I delivered an edited gallery of hundreds of images within 24 hours. The gallery included:

  • Hero shots of each keynote and panel – wide views capturing stage design and audience scale, plus close‑ups of charismatic speakers.

  • Candid networking photos – handshake moments, laughs over coffee, and those serendipitous chats in the hallway.

  • Details – signage, sponsor booths, name badges and digital displays help contextualise the event.

  • Portraits of VIPs – on request I provided quick professional portraits in a quiet corner of the venue. These portraits have since appeared in annual reports and LinkedIn profiles.

Clients received high‑resolution images, colour‑corrected and optimised for both print and web. A highlights reel went out on social media within hours to maximise post‑event buzz.

FAQ – Corporate Event Photography

Q: What exactly is corporate event photography? A: Corporate event photography documents conferences, seminars, product launches and networking events. The aim is to create images that tell the story of the occasion and provide marketing assets that last beyond the event.

Q: How far in advance should we book a photographer? A: For large conferences like Insurtech Insights, it’s wise to book at least 3–6 months ahead to secure your preferred dates, especially during peak seasons. Smaller corporate meetings can often be accommodated on shorter notice.

Q: How many images will we receive and in what format? A: The number of images depends on event size and duration. A full‑day conference typically yields anything from 250 to 700 edited photos. You will receive high‑resolution JPEG files via a secure online gallery, along with web‑optimised versions for faster loading.

Q: Can you work discreetly without interrupting speakers or attendees? A: Absolutely. My approach prioritises unobtrusive coverage. I use silent‑shutter cameras and move quietly through the venue to capture genuine moments without distracting guests.

Q: Do you travel outside London? A: Yes. I am based in the Netherlands and Cyprus and regularly travel across Europe, including London, Amsterdam, Zurich, Munich, Milan to name a few. Travel fees are transparent and agreed in advance.

Q: Can we use the photos for marketing and press? A: Yes. Your license includes broad commercial usage rights for marketing, social media, internal communications and press releases. I’m always happy to advise on image selection for different platforms.

Q: What’s your turnaround time? A: I deliver a highlights selection within 24 hours so you can capitalise on post‑event momentum. The fully edited gallery is usually ready within 24 hours unless otherwise agreed.

Q: How do we book? A: Visit my contact page or email me directly. Let me know your event date, location and any specific requirements and I’ll prepare a tailored proposal.
